GoHighLevel workflow not triggering? Follow Up Boss action plan stopped? Texts not going out? Use this checklist to find exactly where your automation breaks and fix it.

Your CRM was supposed to follow up for you. Instead, new leads sit there with no text, action plans stop halfway, and the workflow that worked last month suddenly does nothing. Before you rebuild everything, know this: most broken real estate automations come down to a handful of causes.
I diagnose and fix GoHighLevel and Follow Up Boss setups for agents and teams, and I run the automation behind the #1 team on eXp Realty Québec. Here is the checklist I use, in the order I use it.
First: find out where it breaks
Every automation has three parts: the lead arrives, the automation starts, and each step runs. Don’t touch anything until you know which part fails. A workflow that never started needs completely different fixes from one that started and then skipped a step.
Part 1: the lead never arrives (or arrives wrong)
1. The lead source is disconnected. Facebook page connections, Zapier zaps and webhooks break quietly when a password changes or a permission expires. Submit a test lead from the real source, not a manual entry.
2. Fields don’t map. If the phone number lands in a notes field instead of the phone field, nothing that depends on it can run. Check the field mapping for every form and lead source.
3. Duplicates. When a lead already exists, some integrations update the old contact instead of creating a new one, so “new lead” triggers never fire. Search for the contact by phone and email.
Part 2: the automation never starts
4. It isn’t published. In GoHighLevel, a draft workflow doesn’t react to live events. Sounds obvious, but it’s the first thing to check after any edit.
5. Wrong trigger, or a filter that doesn’t match. “Form submitted” is not the same as “contact created”, and a filter on the wrong form, tag or pipeline blocks everything. Every filter must match, not most of them. Remove filters one at a time to find the one that blocks.
6. Re-entry is off. If the contact already went through the workflow once, it may not be allowed back in. Test with a brand-new contact before changing settings.
7. Check the history. In GoHighLevel, open the workflow’s Enrollment History. In Follow Up Boss, look at the lead’s timeline and which action plan was applied. If the contact is there, the trigger worked: move on to Part 3.
8. Follow Up Boss lead flow. In Follow Up Boss, lead flow rules decide which agent and which action plan each lead source gets. A new source with no rule means no action plan.
Part 3: it starts, then a step fails
9. Do Not Disturb, unsubscribed, or no mobile number. Texts silently skip contacts who opted out, are marked DND, or only have a landline. That’s good compliance, but it looks like a broken workflow.
10. Your messages aren’t being delivered. For US numbers, unregistered A2P 10DLC traffic gets filtered by carriers. For email, an unauthenticated sending domain (missing SPF, DKIM or DMARC) sends your follow-up to spam.
11. Two automations fight each other. One workflow adds a tag, another removes it. One action plan stops when another starts. When something “randomly” stops, look for a second automation touching the same contact, tag or pipeline stage.
12. Wait steps and time windows. A step set to send only during business hours, in the wrong time zone, or after a long wait can look like it never ran. Check the time zone of the account and of each step.
It worked last month and stopped: what changed?
When an automation that used to work stops, the cause is almost always a recent change: a new form, a renamed tag, a new pipeline stage, an edited filter, a disconnected integration, or a new automation added on top. List everything that changed since the last lead that went through correctly, and start there.
How to stop this from happening again
- One automation per job. Fewer, clearer workflows beat many overlapping ones.
- Name things consistently. Tags, pipelines and forms with clear names make filters hard to get wrong.
- Test with real leads. Real data is messier than test data, so submit real test leads from each source after every change.
- Get alerts. An internal notification when a new lead isn’t contacted within a few minutes catches problems before they cost you a deal.

FAQ
Frequently asked questions
Why is my GoHighLevel workflow not triggering?+
The most common reasons are: the workflow is still a draft, the event you tested isn’t the exact event the trigger listens for, one of the trigger filters doesn’t match, or the contact already went through the workflow and re-entry is off. Check the workflow’s Enrollment History first: if the contact is there, the trigger worked and the problem is in a later step.
Why are my automated texts not being delivered?+
Check that the contact has a valid mobile number, isn’t marked Do Not Disturb or unsubscribed, and that your sending number is properly registered. For US numbers, unregistered A2P 10DLC traffic is often filtered by carriers.
Why did my Follow Up Boss action plan stop?+
Action plans can be set to pause when a lead replies, and lead flow rules decide which plan applies to which source. Check the lead’s source, the lead flow rule for that source, and the action plan settings.
My Facebook leads are not reaching the CRM. What should I check?+
Confirm the Facebook page is still connected, the integration has permission to read lead forms, the correct form is mapped, and test with Meta’s lead ads testing tool before spending more on ads.
Can you fix my CRM automations?+
Yes. I diagnose and fix GoHighLevel and Follow Up Boss automations for real estate agents and teams, without rebuilding what already works.
